This privacy policy (Policy) explains how OPD Manager (us, we, or our) collects, uses, shares, stores, discloses, and protects your personal information when you access and use our software-as-a-service (SaaS) application for dental clinic management (Services).
By accessing our Services, you accept the terms of this Policy and consent to our collection, use, disclosure, and retention of your information as described in this Policy. IF YOU DO NOT AGREE WITH ANY PART OF THIS PRIVACY POLICY, THEN PLEASE DO NOT ACCESS OUR SERVICES.
1. STATEMENT OF PRACTICE AND POLICIES
1.1 This Policy has been published to comply with the requirements of applicable laws, including the Information Technology Act, 2000, and the Digital Personal Data Protection (DPDP) Act, 2023.
1.2 We act as a Data Processor for the patient information entered by the Doctor/Clinic (Data Fiduciary). All clinical records are stored in separate, segregated databases for each organization.
1.3 Data Encryption: All sensitive patient personal data is encrypted such that the system administrator and staff cannot access or read patient clinical identities.
2. INFORMATION COLLECTED AND PURPOSE
2.1 We collect information necessary for the provision of Services, including:
- Personal Information: Name, contact details, and clinic registration.
- Sensitive Data: Dental history, X-rays, and treatment plans processed on behalf of the clinic.
- Usage Data: Logs related to Meta/WhatsApp API messaging for patient reminders.
3. SUBSCRIPTION AND DATA RETENTION
3.1 Subscription: We offer 1-year, 3-year, and 5-year plans. Payments are collected manually and are non-refundable. A 1-month free trial is provided for evaluation prior to purchase.
3.2 Expiration: Renewal notifications are provided 15 days prior to expiry. Upon expiry, access to the system is restricted until renewal.
3.3 Deletion: All records are permanently deleted from our servers after 90 days of continuous subscription inactivity.
3.4 Data Portability: Users may export patient lists to Excel via the Branch Settings at any time during an active subscription period.
4. DISCLOSURE TO THIRD PARTIES
4.1 We do not sell or rent personal data. Information is shared with third-party service providers (such as Meta for WhatsApp API) only to the extent necessary to deliver Service features.
4.2 All data is currently stored on global servers, and we maintain weekly backups for data safety and recovery purposes.
